Position Summary:

The Contracts Supervisor reports to Inside Sales Manager. The position requires knowledge and experience in the field of valve automation sales and Contracts. The incumbent is required to maintain a strong commitment to top-quality customer service.

Main Responsibilities:

  • Supervisory responsibilities for a team of Contract Administrators
  • Responsible for all overseeing all contractual activities from the date an order is received through to shipment while maintaining the systems and procedures according to company standards
  • Provides an interface between customers’ requirements and Production
  • Serves as a liaison with other departments to include Purchasing, Production Planning, Engineering, Accounts, and Shipping to ensure the fulfillment of customer requirements
  • Oversees the handling of documentation, customer queries, and expediting
  • Hold internal and external meetings with customers, inspectors, and expeditors
  • Keep customers informed of delivery schedules
  • Maintains accurate records of all contractual information. Oversees the records management of employees on the Contracts team
  • Handles technical calls. Assists employees in addressing technical queries
  • Oversees and ensures regular coordination with the Sales team to gather customer information required to complete a contract
  • Develops and maintains a customer first approach
  • Maintains the quotation log on a daily basis ensuring all information is entered and updated
  • Updates the sales database (RSMS) and actions the sales team as required
  • Coordinates the updating and distribution of new price lists
  • Reviews workload within the department to ensure proper response time to inquiries

Candidate Specification:

  • Direct supervisory experience
  • Experience in the sale of engineered industrial valve automation products through direct and indirect channels. Familiar with techniques required to co-ordinate the sale of products and services on capital projects as well as to resellers and end-users
  • Applicable degree or advanced diploma plus directly related experience in a Contracts position
  • The desire to always deliver a quality product to both internal and external customers
  • Exhibit tact and strong diplomatic skills when dealing with all staff, customers and suppliers
  • Sound time management and planning skills
  • High level of self-motivation, independence and self-reliance
  • Knowledge of and experience with the use of Microsoft Office®
